- Make your due date at least one week before the drop dead due date of February 7. We can not accept applications after February 7. We must receive all registrations on or before February 7.
- Keep copies of all the registration forms.

- The correct adult to student ratio: 8 total students = 2 adults. Every additional 8 students add 1 adult.
- If you are bringing both male and female students, you must bring male and female chaperones.
- The Presence Committee will not secure chaperones for your group. If you connect with another group for the purpose of sharing chaperones, then you merge as a group. All the forms and fees should be mailed under ONE group name. Upon arrival to the retreat, everyone in your group (a merged group is ONE group) must be in attendance before entering the retreat.
- Last-minute cancellations will not have their registration fee refunded. If a student cancels after your group has registered, you can fill that spot with another student. Email thepresencekalamazoo@gmail.com to make the change.
- A fine (at least $100) will be issued to the Group if any one person in the group damages property.

- As the GROUP LEADER, you are responsible to submit the Adult Chaperone Verification Form. The Group Leader must secure the signature of the Collaborative/Parish Safe Environment Coordinator verifying each adult chaperone. See the attached form.
